Job Overview
The Lease Administrator has primary responsibility for reviewing, profiling and managing Leases and associated content from origination (or acquisition) to termination (or sale). This begins with properly profiling new Leases, preparing abstracts, ensuring that they are entered properly in company systems, and capturing critical dates and clauses. Particular attention is paid to clauses requiring action or decisions upon certain events or on specific dates. Over time, the Lease Administrator performs regular and ad-hoc audits, and conducts regular compliance checks. The Lease Administrator is a source of information to the company regarding current and past Leases, and communicates with key colleagues to ensure that leases are properly managed. In the event of a default or other non-compliance, the Lease Administrator coordinates appropriate activities.
Duties & Responsibilities
- Work with legal, leasing, and operations teams to coordinate activities.
- Receive and on-board new Leases
- Coordinate or support the execution process for new Leases
- Manage profiling of Leases into company systems
- Interact directly with key systems such as Lease or Document Management, ERP and others
- Perform quality control reviews and audits of Lease data and files
- Coordinate the resolution of errors and missing elements
- Manage critical dates and Lease Administration Calendar
- Monitor options, renewals, and other key clauses
- Monitor important support documents, such as insurance, guarantees, and letters of credit
- Calculate rental adjustments such as CAM escalations, percentage rent, and others
- Review billing and financial transactions for compliance with lease terms
- Provide regular and as-needed reporting and analytics on Leases
- Off-Board Leases as necessary
Education & Training
- Bachelor’s degree in Business Administration, Commerce, Law, or related field.

- Strong reading comprehension skills with the ability to communicate effectively.
- Flexible and adaptable with excellent organization, time management and prioritization skills.
